The branded meeting room: your meeting, your room

A branded meeting room is a web page with your logo, colours and offers that hosts your video meeting inside it, so guests join on your page instead of following a bare meeting link. Guests wait in a lobby with your name on it, the meeting starts for everyone the moment you press Start the room, and every guest leaves a name and email at the door. BrandedRooms gives you that room on the meeting account you already use, and every room starts with a free 30-day trial, no card.

What a branded meeting room is, in plain words

Most important meetings start the same way: someone pastes a link into an email, guests click it, and a plain window opens that looks the same for a company all-hands as it does for a dentist appointment. Nothing in that moment says who is hosting, what the meeting is for or what happens next.

A branded meeting room changes the front door. Instead of a bare link, you send people to a page that belongs to you. Your logo sits at the top, your colours run through it, your navigation stays in place, and the video meeting runs inside the page itself. Before you arrive, guests see a waiting room that says you will be joining shortly, with a countdown and an add-to-calendar button. When you start, the meeting appears on every guest's screen without a reload or a second click.

Because the room is a page and not just a window, it can do things a meeting link cannot. It can ask for a first name and email at the door. It can keep your offers, resources and next steps beside the meeting. It can play confetti and applause on every screen at once when the big moment lands. And it can hand every guest to your follow-up when the meeting ends.

How BrandedRooms works

BrandedRooms is built around three steps, and none of them asks you to move to a new meeting product.

  • Connect your meeting account. You keep the video meeting account and licence you already pay for, with your settings and your recordings. BrandedRooms hosts that meeting on your page.
  • Dress your room. Add your logo, colours and fonts, the waiting-room message, the offers you want beside the meeting and where guest details should go.
  • Open the doors. Share one link. Guests enter their name and email, wait in your branded lobby, and the meeting starts on the page for all of them when you press Start the room.

What is inside every room

Every room starts with a free 30-day trial, no card: a generic room on a brandedrooms.com address, the waiting room that says you will be joining shortly, the meeting inside the page, one-click Start the room and guest capture. The BrandedRooms badge is shown.

The Generic Room keeps that room open after the trial and adds guest capture with a CSV export, the standard effects pack with sound, and a live attendee list with capacity warnings.

The Branded Room, the most popular plan, is where the room becomes fully yours. It adds your own logo, colours and fonts throughout, waiting room included, your domain or subdomain, the featured offers rail beside the meeting, CRM and email hookups with tags and follow-up funnels, and the badge is removed.

Custom Deluxe goes further: its own command center with a Go Live moment, a logo burst over the meeting, five custom party features, each with the effect, image and sound you choose, and priority support. Single sign-on, multi-room administration and white-label are available on request from our team.

Who uses a branded meeting room

The same room serves two very different hosts. Companies use it for the meetings that carry the brand inside and out: all-hands and town halls, sales kickoffs, client webinars, customer onboarding, training and product launches. For them the value is calm and operational: an on-brand page people trust, agendas and resources beside the meeting, and an attendance list that builds itself.

Coaches, consultants, creators and small businesses use it for the moments that grow the business: masterclasses, community calls, group coaching, book launches, open houses and celebrations. For them the value is warmer: their brand instead of someone else's link, their offer one click away the whole time they teach, every guest on their list, and a party when the moment deserves one.

BrandedRooms itself started as one room, built for Krystalore Crews' 9-Year Business Birthday: her brand around the meeting, her programmes in a rail beside it, a lobby that said she would be joining shortly, and effects she could fire for everyone at once. That room is now the product.

Why the room matters more than the link

A meeting link is a utility. It gets people into a call, and it does that job well. But it was never designed to carry your brand, capture your guests or keep your offer in view, and every one of those gaps costs you something. Guests forget who invited them. Attendance lists live in someone's inbox. The offer you mentioned at minute forty is a link nobody can find later.

A branded room closes those gaps without changing the meeting itself. Your meeting platform still handles the video, the audio and the recording. The room handles everything around it: the welcome, the waiting, the start, the moments, the offers and the follow-up. Hosts keep the tools they know, and guests get an experience that finally looks like the person or company that invited them.

If you are deciding between a plain link, webinar software or a full virtual event platform, our comparison pages lay out where each one fits honestly, including when a branded room is not the right choice.

Getting started

You can start a free 30-day trial today, no card, and use the room on a real meeting this week. The setup guide walks you through connecting your meeting account in order, including the two or three settings that trip people up the first time, and the test steps to run on a second device before guests arrive. When the trial ends, pick the plan that fits, and move to a Branded Room when the room earns your brand. If you are planning rooms for a whole company, an agency's clients or an association's members, talk to our team.

Branded video conferencing, without changing your meeting platform

Branded video conferencing means your guests meet you on a page with your logo, colours, domain and offers around the call, instead of a generic meeting window that looks the same for everyone. BrandedRooms delivers it on the meeting account your team already uses: the video and audio stay where they are, and the room around them becomes yours. This page explains the three levels of branding, what each one involves and how to choose.

How to embed a video meeting on your website

To embed a video meeting on your website, you either build a page yourself on a meeting platform's developer kit, or use a branded meeting room that runs your existing meeting inside a page with your logo, colours and navigation. Guests then join in the browser on your page instead of being sent away to a meeting app. This guide compares the options honestly and shows what the room approach looks like in practice.

How a branded meeting room works, from invite to follow-up

A branded meeting room works by running the video meeting you already host inside a web page you control. Guests open your room link, leave a first name and email at the door, wait in a lobby with your name on it, and the meeting appears on every screen the moment you press Start the room. Your meeting platform still carries the video, the audio and the recording, while the room carries everything around it.

A private video room is a meeting page only your invited guests can reach, where each person is identified at the door before the video meeting begins. With BrandedRooms, a private room is your branded page with a door that asks for a name and email or a sign-in, a lobby you open and close, and the meeting's passcode held by the room so it never travels in an email. Here is how to set one up, and what a room can and cannot do for privacy.

BrandedRooms builds that room around the meeting account you already use, so you plan the event rather than learn a new platform. Below is how to decide whether one room is enough, and how to run it well.

FAQ

Frequently asked questions

What is a branded meeting room?+

A branded meeting room is a web page with your logo, colours and offers that hosts your video meeting inside it. Guests join on your page rather than through a bare link, wait in a lobby with your name on it, and enter their name and email at the door. The meeting starts for everyone when the host presses Start the room.

Do I need a new meeting account to use a branded meeting room?+

No. BrandedRooms hosts the video meeting account and licence you already use, with your settings, your recordings and your participant limit. You connect that account once in your room settings. BrandedRooms never resells meeting licences and only bills for the room, so there is no new meeting product to procure or learn.

Do guests need to download anything?+

No. Guests join in the browser, right on your room page, with nothing to install. Anyone who prefers their desktop meeting app can still join the regular way, though they will not see your room page, its offers or its live effects. Most guests simply enter their name and email and wait in your lobby.

How much does a branded meeting room cost?+

Every room starts with a free 30-day trial, no card, with the waiting room, the meeting inside the page, Start the room and guest capture. After that there are three monthly plans: the Generic Room, the Branded Room and Custom Deluxe, each adding more of your brand and more tools. The pricing page lists what each one includes and costs.

Who sees the live effects in a branded meeting room?+

Everyone on your room page sees and hears the effects at the same moment, because they play over the meeting on the page itself. Guests who joined through the desktop meeting app directly do not see them, and the meeting platform's own recording does not include them. Screen-record the room page if you want effects in a replay.
