What the integration does
Every room captures guests at the door: a first name, an email and the event they joined. On a Generic Room that list waits for you as a CSV export. On a Branded Room, the room passes each guest to the CRM or email tool connected to that room, with tags that say which event they came to.
The point is the step you no longer have to do. After a busy event, the export, the spreadsheet tidy-up and the upload are the jobs most likely to slip to next week, by which time the moment for a warm follow-up has gone. When guests arrive in your tool already tagged, your thank-you, replay or offer can go out while the event is still fresh in their minds.
We describe the integration by what it does rather than by a list of named products. If you want to check that your particular CRM or email tool fits, tell us which one you use when you set up your Branded Room, and we will tell you plainly.
Planning your tags
Tags are what turn a pile of contacts into a list you can act on. Decide them before the event, not after. A simple, consistent scheme beats a clever one.
- Tag the event type and the occasion, for example masterclass and spring masterclass, so you can follow up with one event or the whole series.
- Tag the room for hosts with several rooms, for example client webinars or community, so lists never blur together.
- Keep tag names short, lowercase and free of dates written in different styles; the event name already says when it was.
- Agree the scheme with whoever owns the CRM, so sales, marketing and success teams read the tags the same way.
- Write the scheme down in the run of show, so the next event uses the same pattern.
Which tier includes it
Here is the split, in plain terms.
- Free 30-day trial and Generic Room: guest capture with first name and email, tagged by event, with a CSV export on the Generic Room. You move the list yourself.
- Branded Room: guests sent to your CRM or email tool with tags, plus follow-up funnels, the offers rail and the brand kit, alongside the effects and attendee list that also come with the Generic Room.
- Custom Deluxe adds a room fully branded to the business with its own Go Live command center. Custom integrations with the systems your company already runs, analytics and dedicated support are available through our team, scoped and quoted. This is the route for anything beyond sending guests and tags to one tool.
How teams use it, by role
The same flow serves very different hosts, because the tags do the sorting.
- Sales enablement and client webinars: guests arrive in the CRM tagged with the webinar, so each account owner sees which of their contacts attended and follows up personally.
- Marketing and events: every live session feeds the email tool with a tag per event, so the replay email and the next invitation go to exactly the right people.
- Customer success: onboarding webinar guests are tagged so the team knows who has completed the session and who still needs a nudge.
- Coaches and course creators: masterclass guests drop into the email list with the masterclass tag, ready for the replay and the offer sequence.
- Community builders: community call regulars and first-timers can be told apart by their tags and welcomed differently.
Your first event with the integration
The first event after connecting is the one to watch closely. A short checklist keeps it calm.
- Before the day, connect your CRM or email tool in your Branded Room settings and choose the tags for this event.
- Join your own room as a test guest with an address you control, and confirm the contact arrives with the tags you expect.
- Prepare the follow-up in your tool in advance, such as the thank-you, the replay and the offer, so it is ready to send to the event tag.
- On the day, run the event as normal. The room does the sending; nobody needs to export anything.
- Afterwards, compare the number of guests in your tool with the attendee list in your room. If they differ, look for desktop-app joiners and mistyped emails before assuming anything is broken.
- Keep the CSV export as a backup for your first few events, until the flow has earned your trust.
Consent and data, before you connect
Sending guests to a marketing tool is a promise as much as a technical step. The consent line at your room's door should say what guests will receive, for example the replay and resources from today, and occasional invitations to future sessions. Your follow-up should keep that promise.
Guest details belong to you. BrandedRooms collects only a first name, an email and the event, sends them to the tool you connect, does not sell them and does not share them with other customers. If your company has its own rules on consent, retention or data handling, set your consent text accordingly and talk to us before a larger rollout; organisation-specific handling is scoped through our team.
Honest limits
The integration sends the guests the room captured. Guests who joined with the regular meeting link in their desktop meeting app never came through your door, so they will not arrive in your CRM from the room; your meeting platform's own participant report is the place to find them.
The room sends who joined and which event they joined. It does not measure how long each guest stayed or score their engagement; analytics are available through our team. We do not publish a list of named integrations, and we will not promise a connection we have not confirmed for your tool. Test it before the day: join your own room as a test guest, then check that your test contact arrived in your tool with the right tags.
