What guests see
Your room link does not only work on the day. Share it the moment the event is announced, and anyone who opens it early lands in the waiting room, which shows three things: the host's name with a message that they will be joining shortly, a countdown to the scheduled start, and a button to add the event to their calendar.
That turns the room link into the event page. A guest who opens the invitation a week early sees the countdown, saves the event to their calendar and closes the tab. A guest who arrives ten minutes early sees the countdown ticking down and knows they are in the right place. And on the day, when you press Start the room, the same page switches to the live meeting by itself.
Why the calendar button matters
Most people who miss a virtual event do not decide to skip it. They simply forget, or the time slips past while they are in another meeting. A calendar entry is the most reliable reminder most people have, because it pops up wherever they already look.
The add-to-calendar button in the waiting room creates that entry for the guest, with the event and the way back to your room. For hosts it removes a step from the invitation process: rather than attaching calendar files to every email, you can send one link and let guests save the event from the page. For guests it removes the work of typing the event into their calendar by hand, getting the time zone wrong and losing the link.
Using the countdown well, before the day
A countdown page is most useful when it is the one place you point people to. A simple plan:
- Publish the room link as soon as the event is confirmed, in the announcement, the invitation and your social posts.
- Tell guests to open the link now and add the event to their calendar from the page.
- Use the same link in every reminder, so guests always land on the countdown rather than a different page each time.
- In the last reminder, say that guests can open the room early and wait there; the page will switch to the meeting when it starts.
- Never publish the raw meeting link alongside it. The raw link skips the countdown, the calendar button and the door where guests are captured.
Ideas by event
The countdown sets a tone as well as a time. Some ways hosts use it:
- Product launch: share the room link a week out, and let the countdown build anticipation towards the reveal.
- Business birthday or anniversary: invite friends and clients early, so the countdown becomes part of the celebration.
- Masterclass: link the countdown from your sign-up thank-you page, so new registrants save the date straight away.
- Community call: keep one room link for the recurring call, so members always know where the next countdown is.
- Company all-hands: put the room link in the internal announcement, so every employee can add the session to their calendar in one click.
- Fundraiser: share the countdown with supporters and ask them to add the event before inviting a friend.
Which plan includes it
The countdown and the add-to-calendar button are part of the waiting room, so they come with every plan, from the free 30-day trial and the Generic Room up, shown in the BrandedRooms style with your host name.
On the Branded Room plan, the countdown and the whole waiting room take on your brand kit, with your logo, colours and fonts, on your own domain or subdomain if you add one. Custom Deluxe goes further, with a room fully branded to the business, a logo burst and custom music and effects for the moment the countdown ends and the room starts.
Pairing the countdown with the start
The countdown counts to the time you scheduled; the meeting starts when you press Start the room. Those are usually the same moment, but it helps to make them so deliberately.
Start the meeting in your meeting app a few minutes before the scheduled time, so you are ready when the countdown reaches zero. Press Start the room on time, and guests who were watching the countdown move straight into the meeting. From the Generic Room up, fire confetti or applause the moment the doors open, and the end of the countdown becomes the first celebration of the event.
Honest limits
The countdown cannot start the meeting. If you are running late, the countdown will reach zero and the page will keep saying that you will be joining shortly until you press Start the room, so tell guests in your own channels if there is a real delay.
The calendar entry is a reminder, not a promise that everyone attends, and some guests will still forget. The countdown and the calendar button live on your room page, so guests who join with the regular meeting link in their desktop app never see them. And the countdown is only as accurate as the start time you set: if the event moves, update the time in your room settings before you send the next reminder.
