Your meeting licence is the cap
BrandedRooms runs your meeting inside your own page, on your own meeting account. That means the meeting platform decides how many participants the meeting can hold, based on the plan you pay for. Common licence tiers are 100, 300, 500 or 1,000 participants, depending on the plan and any large-meeting add-on you hold. Check your own account for the exact figure rather than assuming.
Every person in the room counts: guests on the room page, anyone who joined with the plain meeting link in their desktop app, and your hosts and speakers. Plan the number with all of them in mind.
How the room helps you stay inside the limit
Set your room's capacity to your licence's participant limit when you connect your account. On a paid plan, from the Generic Room up, the live attendee list shows who is in, and capacity warnings appear in your host control panel as the room nears that number. That gives you time to act before late arrivals are turned away, instead of finding out from a guest's message.
What happens when a meeting fills up
When a meeting reaches its participant limit, the meeting platform stops letting new people in. That is the platform's rule, and a branded page cannot override it. The people already inside carry on normally. Anyone arriving after that point cannot join the meeting until someone leaves.
If you expect a bigger audience
Decide before the day, not during it. You have three honest options.
- Upgrade the licence. Ask your meeting provider for a larger tier or a large-meeting add-on for the month of your event.
- Plan an overflow livestream. Stream the session to a second destination and point late arrivals there.
- Split the audience. Run the same session twice, or give different groups their own time, which also makes questions easier.
A simple way to estimate
Count your registrations and assume not everyone will come, but do not plan on a low turnout either. Some events, such as a free masterclass, see many people register and fewer arrive; others, such as a company all-hands with a calendar hold, see nearly everyone turn up. You know your audience better than any rule of thumb, so use your own past events if you have them.
Then add your hosts, speakers, moderators and any producer, and anyone you expect to join from a second device. If that total sits close to your limit, treat it as full and use one of the options above. A room that is comfortably inside its limit is calmer for everyone, including you.
Setting it up so the numbers are right
When you connect your meeting account, enter your licence's participant limit as the room's capacity. If you change licence later, update the room too, or the warnings will fire at the wrong moment. On the day, keep the host control panel open beside your meeting app. The attendee list and capacity warning sit there with Start the room, the effects keys 1–5 and any join problems guests report, so you can watch the number without leaving the stage.
For events that matter, ask a colleague to watch the count for you. One person presenting and one person watching the room is a calmer setup than one person doing both.
