What a branded room collects
At the door of the room, guests enter a first name and email, unless they are already signed in. The room tags each guest with the event they joined. Nothing else is required. You decide room by room whether email is required; making it required is what powers your follow-up, but it is your call.
That short list is deliberate. A room that asks for too much at the door slows guests down and gathers details you then have to look after. Name, email and event are enough to say thank you, send the replay and invite people to the next one.
Where the data goes
On every plan, guest details are tagged by event and you can export them as a CSV file whenever you like. On a Branded Room and up, the room can also send guests to your CRM or email tool with tags, so each guest lands in the right list or follow-up without anyone copying and pasting. Either way, the list is yours to keep, move or delete.
- Every plan, including the free 30-day trial: guests captured and tagged by event; from the Generic Room up, CSV export at any time.
- Branded Room and up: guests sent to your CRM or email tool with tags, plus follow-up funnels you choose.
- Through our team: custom integrations and analytics, scoped and quoted.
What BrandedRooms does not do with it
BrandedRooms does not sell your guests' details, and it does not share them with other customers. Your guest list is not pooled with anyone else's, used to market other hosts' events or offered to advertisers. The room collects guest details to run your event and pass them to you; that is the job.
Your responsibilities as the host
Owning the data also means looking after it. Tell guests at the door what you will use their email for, for example: we will send you the replay and news about future events. Only send them what you said you would. Keep your exported files somewhere sensible, not on a shared desktop, and remove people who ask to be removed. If you work in a regulated field or across borders, check your own obligations with your advisers; BrandedRooms does not give legal advice or make compliance claims on your behalf.
What to say at the door
The simplest way to respect guest data is to be clear before you collect it. One honest sentence under the email field does the job, and it reads warmer than a wall of small print.
- Webinar: we will send you the replay and the slides, plus news about our next sessions.
- Masterclass: we will email you the workbook after class, and occasional offers you can opt out of any time.
- Community call: we use your email to send the call notes and next month's invitation.
- Internal meeting: we use your work email to record attendance for this session.
Questions larger organisations ask
Companies, associations and agencies often need more than a CSV file. They ask who on the team can see guest lists, how long data is kept, and how it reaches internal systems. Those conversations belong with our team, where single sign-on, multiple rooms, custom integrations and analytics are scoped and quoted. Bring your security and privacy questions to that call and we will answer them plainly, including where something is not available.
