Why a plain meeting link loses leads
When guests join with a bare meeting link, the host often ends up with a list of display names, some of them nicknames or device names, and no reliable way to reach anyone afterwards. Registration forms help, but they live somewhere else, and they record who signed up, not who actually came. The people who sat through your whole session and asked a question are the warmest leads you have, and they are the hardest to identify.
Capture at the door
The simplest fix is to capture guests on the way in. In a branded room, guests enter a first name and email at the door, or are recognised if they are already signed in, before they reach the waiting room. Each guest is tagged with the event they joined. On every plan you can export the list as a CSV file. On a Branded Room, guests go to your CRM or email tool with tags, so they arrive in the right list without anyone copying and pasting.
- Ask only for what you will use: first name and email are usually enough.
- Say what you will send, such as the replay and news about the next session.
- Decide room by room whether email is required; making it required is what powers follow-up.
- Tag by event, so a masterclass lead and a community-call member are not treated the same.
Know who actually attended
Registrants and attendees are different groups, and they deserve different follow-up. Capturing at the door tells you who came. On a paid plan, from the Generic Room up, the live attendee list shows who is in the room during the session, which helps you greet people by name and spot the guests you most hoped to see.
Keep the offer in view
Lead capture is not only about the list. It is about giving interested people somewhere to go while they are interested. On a Branded Room, the featured offers rail keeps programmes, products and forms beside the meeting; guests open them in a slide-over without leaving the call. A booking form or a short application in that rail turns a curious attendee into a named lead with a stated need, in the moment.
Follow up while it is warm
Send attendees a thank-you within about a day with one clear next step, and send registrants who missed it a separate note. Follow-up funnels on a Branded Room send each group into the follow-up you choose, such as the replay, the offer or the next event. Then hand the warmest leads to whoever talks to them next, with the tag that says which event they came from.
Respect the people on your list
Every lead is a person who trusted you with their email. Send what you said you would, make it easy to opt out, and do not pass the list to anyone they did not agree to hear from. The guest details captured in your room are yours, and BrandedRooms does not sell them or share them with other customers.
