Map every moment a guest sees
Before you design anything, list the touchpoints in order. Most webinars have the same seven, and each one is a chance to look and sound like yourself.
- The invitation email or post.
- The registration page and confirmation.
- The reminders, the day before and shortly before.
- The page guests join on, and the waiting room while they wait for you.
- The session itself: your slides, your on-camera setup and the big moments.
- The offer or next step, during and after.
- The follow-up email, the replay and the invitation to the next one.
Brand the front door
The join step is where most webinars lose their brand. Guests click a link and land in a plain window that looks the same for every company. A branded room fixes that: guests join on your page, with your logo, colours and navigation around the meeting, in the browser with nothing to download. Before you arrive, they wait in a lobby that says you will be joining shortly, with a countdown and an add-to-calendar button. When you press Start the room, every guest's page switches to the live session together.
On a Branded Room, the page carries your own logo, colours and fonts throughout, on your own domain or subdomain, so the address in the browser is yours too.
Brand the session itself
Inside the session, consistency matters more than decoration. Use one slide template in your colours and fonts, with your logo small and in the same place every time. Set up a clean background on camera, or a simple branded virtual background if your space is busy. Prepare a branded title slide to show while you welcome people, and a closing slide with the one next step and the link. Keep your voice consistent too: the way you greet people, name the session and thank them should sound like your brand, not a script.
Brand the big moments
A brand is also how an event feels. Plan one or two moments that are unmistakably yours: a signature welcome, a countdown before a reveal, a round of applause for a guest, confetti when the doors open on a launch. On a paid plan, the host fires effects with keys 1–5 and every in-room viewer sees and hears them at once. With Custom Deluxe, the room can carry a logo burst and custom music and effects that nobody else has.
Keep the offer on brand and in view
If your webinar leads to an offer, make it look like part of the event, not an afterthought pasted into the chat. On a Branded Room, the featured offers rail keeps your programmes, products and forms beside the meeting in a slide-over, so guests can look without leaving the call. Use the same name, image and words for the offer in the rail, on your closing slide and in the follow-up email.
Brand the follow-up
The follow-up is the last thing guests see, so finish strong. Send the thank-you within about a day from a recognisable sender name, in the same colours and voice as the invitation, with one next step. On a Branded Room, follow-up funnels move attendees into the replay, the offer or the next event you choose, and guest details flow to your CRM or email tool with tags.
